- Summarizing / Optimizing Text
- Develop Action Plans or Training Materials – describe the AI’s ability to provide lists that help expand your thought process when developing materials for trainings or education – procedures or work instructions
I will briefly introduce each of these use cases below. For some of these use cases, I’ve written other posts that go into more detail. Please check out these posts if you’re interested in learning more.
One of the primary benefits of using AI for marketing copy and content generation is its ability to automate the process of generating initial copy ideas and outlines. AI models can analyze existing marketing materials, brand guidelines, and target audience preferences to suggest relevant and engaging copy ideas. This automation can significantly reduce the time and effort required for copywriting and content planning, allowing marketing professionals to focus on more strategic aspects of their campaigns.
AI also excels at generating creative content formats for marketing purposes. By analyzing vast amounts of marketing data, including successful ads, social media posts, and email campaigns, AI models can identify patterns and trends in effective content formats. This knowledge can be applied to generate new content formats that are tailored to specific audiences and channels, increasing the likelihood of capturing attention and driving engagement.
In addition to automating copy generation and suggesting creative formats, AI can also be used to personalize marketing copy and content for specific audiences. AI models can analyze customer demographics, interests, and purchase history to tailor copy and content language to resonate effectively with each audience segment. This personalized approach can enhance the relevance of marketing messages, leading to improved engagement and conversion rates.
However, it is important to build context with the AI before asking it to generate specific content. AI models require a clear understanding of the desired tone of voice, target audience, and overall marketing goals to produce accurate and relevant responses. Building context involves a conversation with the AI, providing it with information about the brand, product, or service being promoted, as well as the specific objectives of the marketing campaign.
To effectively build context with the AI, marketing professionals should:
- Define the brand and target audience: Clearly articulate the brand’s identity, values, and target audience demographics to ensure the AI generates content that aligns with the brand’s overall messaging and resonates with the intended audience.
- Specify the marketing goals: Outline the specific objectives of the marketing campaign, whether it’s to increase brand awareness, generate leads, drive sales, or promote a specific product or service. This helps the AI understand the desired outcome and tailor the content accordingly.
- Provide examples of desired content: Share examples of existing marketing materials, such as successful ad copy, social media posts, or email campaigns, to give the AI a better understanding of the preferred style and tone of voice.
- Engage in a conversation: Interact with the AI by providing feedback on its generated content and asking clarifying questions. This ongoing dialogue helps refine the AI’s understanding of the desired content and improve its output.
By building context with the AI, marketing professionals can harness its capabilities to generate creative, relevant, and effective marketing copy and content, enhancing their campaigns and achieving their marketing goals.
Social Media Posting
AI has transformed social media post drafting by automating tasks, generating creative content, and tailoring messages to specific audiences. This lets social media managers focus on more strategic aspects of their campaigns. AI can also suggest relevant post ideas by analyzing social media trends, popular topics, and audience engagement patterns. Additionally, AI can generate new post formats tailored to specific audiences and platforms, enhancing the relevance of social media messages and leading to improved engagement and conversion rates.
It is important to understand, that in order for the AI to provide relevant and useful responses, it must understand the context of what your social media posts should be about. You can build context by engaging in a conversation with the AI and describing what you are trying to accomplish before asking it to generate a social media post.
AI can be used to draft original emails by analyzing large amounts of email data to identify patterns in writing style, tone, and content. AI models can then use these patterns to generate emails that are similar in style and content to the emails they have been trained on. This can be a valuable tool for busy professionals who need to send a large number of emails on a regular basis.
However, it is important to note that AI-generated emails may not always be appropriate for all situations. For example, if you are sending an email to a client or colleague, you may want to personally draft the email to ensure that it is professional and reflects your own unique writing style. Additionally, AI-generated emails may not always be accurate or factual, so it is important to proofread them carefully before sending them.
When copying proprietary data into an AI model, it is important to be aware of the potential legal and ethical implications. Proprietary data is any data that is owned or controlled by a particular person or organization. Copying this data into an AI model without permission could be considered copyright infringement or a breach of contract. Additionally, using proprietary data to train an AI model could result in the model generating output that is biased or inaccurate.
In order for an AI model to create an accurate response to an email, it needs to have access to a significant amount of context. This includes the email itself, as well as any other relevant information, such as the sender’s history of emails, the recipient’s preferences, and the overall purpose of the email exchange. The more context the AI model has, the better it will be able to understand the sender’s message and intent, and the more accurate its response will be.
Answering Technical Questions on Excel or PowerPoint
Working With Excel
Excel is an extremely powerful tool. There are tons of examples I could give on how to use Google Bard to assist in development of a spreadsheet, but for this example, I will be asking for help creating a pivot table.
Instruct on how to create a pivot table in Excel. There are 3 columns of data. The first column are dates. The second column contains quantities. The third column contains total amounts of cost. I would like to group data in a way that shows the total cost per month.
Here are the steps on how to create a pivot table in Excel to show the total cost per month:
- Select the data: Highlight the three columns of data that you want to include in the pivot table.
- Insert a PivotTable: Click the Insert tab, and then click the PivotTable button.
- Choose the PivotTable location: In the Choose PivotTable Destination dialog box, select where you want to place the pivot table:
- New worksheet: This will create a new worksheet to hold the pivot table.
- Existing worksheet: This will place the pivot table in the current worksheet.
- Add fields to the pivot table: In the PivotTable Fields task pane, drag the Date field to the Rows area. Drag the Quantity field to the Values area. Drag the Total Cost field to the Values area, and then click Sum in the Values Field Settings dialog box.
- Group data by month: Right-click the Date field in the pivot table, and then click Group. In the Group Field Settings dialog box, select Months from the Group By drop-down list. Click OK.
- Format the pivot table: You can format the pivot table as desired by right-clicking any cell in the pivot table and selecting PivotTable Options.
Here is an example of how to create a pivot table in Excel to show the total cost per month:
Date | Quantity | Total Cost
------- | -------- | --------
2023-10-01 | 10 | 100
2023-10-02 | 20 | 200
2023-10-03 | 30 | 300
2023-10-04 | 40 | 400
2023-10-05 | 50 | 500
2023-11-01 | 60 | 600
2023-11-02 | 70 | 700
2023-11-03 | 80 | 800
2023-11-04 | 90 | 900
2023-11-05 | 100 | 1000
The pivot table will show the following results:
| Month | Total Cost |
| October | 1,500 |
| November | 2,900 |
I hope this helps!

Software Code Generation & Commenting
Using Google Bard or Chat-GPT as a code generator, a developer can simply provide a natural language description of the desired function, such as “Write a function that reverses the order of characters in a given string.” The AI tool will then generate the corresponding code, such as:
reversed_string = string[::-1]
Similarly, an AI code generator can assist in creating code for a basic calculator. By providing instructions like “Develop a calculator that can perform addition, subtraction, multiplication, and division,” the developer can generate the necessary code skeleton, such as:
def add(a, b):
return a + b
def subtract(a, b):
return a - b
def multiply(a, b):
return a * b
def divide(a, b):
return a / b
Google Bard and Chat-GPT can also be used to create comments for existing code. AI can interpret code and apply comments explaining what each line does.
As an example, here is an example Python function with no comments.
total = 0
for number in numbers:
total += number
average = total / len(numbers)
After prompting Google Bard to add comments to the above code, it outputs this:
# This function calculates the average of a list of numbers.
total = 0 # Initialize a variable to store the sum of the numbers.
for number in numbers: # Iterate through the list of numbers.
total += number # Add each number to the total.
average = total / len(numbers) # Calculate the average by dividing the total by the number of numbers.
If you have large amounts of software code that need comments, I suggest only working with one function at a time. If you copy too much of your code into Google Bard, it may go beyond the context limit and return incomplete results.
Consider the prompt: Add comments to this <programming language> function: <copy function code here>
Research And Analysis
Large language models (LLMs) have proven their ability to process and extract relevant information from a massive amount of data. Now, some of the most advanced AIs like Google Bard can access real-time information, just like a human would use a search engine. This real-time information access makes Google Bard and other AIs with similar capabilities the best tools for conducting research and analysis.
Google Bard simplifies the research process by enabling users to engage in conversations to refine their search inquiries. These AI-powered models can then efficiently gather and organize the most relevant information, presenting it in a clear and concise manner.
The rise of AI writing tools has brought about a new era of convenience for students, offering them assistance in crafting essays and reports. However, this development has also sparked concerns about academic integrity, leading to the emergence of AI detection tools. These AI detection tools analyze written work to identify potential instances of AI usage, aiming to prevent students from outsourcing their academic responsibilities to machines. While AI detection tools can be helpful in upholding academic standards, there have been instances where they have led to unfair accusations.
Google Bard is an expert language translator. Currently, Bard is available in over 40 different languages and can translate between them.
Consider this prompt: Translate the following text from <input language> to <output language>: <text to translate>

Scheduling and Organizing
As of September 19, 2023, Google Bard can now examine your Google Calendar and help you create a schedule or plan a vacation.
According to the Google Blog:
For example, if you’re planning a trip to the Grand Canyon (a project that takes up many tabs), you can now ask Bard to grab the dates that work for everyone from Gmail, look up real-time flight and hotel information, see Google Maps directions to the airport, and even watch YouTube videos of things to do there — all within one conversation.https://blog.google/products/bard/google-bard-new-features-update-sept-2023/
Of course, for this to work well, you must have your Google Calendar up-to-date. Also consider that at the time this is being written, Bard CANNOT add events to your Google Calendar. Perhaps this will be a feature Google rolls out soon. It would be great if you could plan a trip with Google Bard, accept it, and then have Bard automatically block out your calendar!
Regardless, be sure to try this out the next time you are planning a trip!
Summarizing Text / Re-Writing
AI can rephrase sentences using different words and sentence structures while maintaining the original meaning. This helps in making the text more engaging and easier to read. This can be useful for many tasks such as reducing email size, converting draft texts into final revisions, or writing clear instructions for a user manual to name a few.
Consider using the following prompt: Act as an expert writer with over 20years of experience, re-write the following text to be more clear and concise: <copy paragraph here>
Develop Action Plans or Training Materials
AI can analyze existing training materials, identify patterns and trends, and generate new text that is tailored to the specific needs of the target audience.
Here are some specific examples of how AI can be used to create training manuals:
- AI can summarize and restructure complex text. Training manuals often contain a wealth of information, but it can be difficult for new hires to extract the key points and understand the overall flow of the material. AI can summarize lengthy passages, highlight important concepts, and reorganize information in a more logical and digestible format.
- AI can generate personalized learning paths. Different learners have different learning styles and preferences. AI can analyze individual learning styles and adapt training materials accordingly, providing personalized learning paths that cater to each learner’s needs.
- AI can translate training materials into multiple languages. Companies with a global workforce often face the challenge of translating training materials into multiple languages. AI can automatically translate text with high accuracy, ensuring that all employees have access to the information they need, regardless of their native language.
- AI can create interactive simulations and exercises. Training manuals often rely on text-based explanations, which can be less engaging and effective than hands-on learning experiences. AI can generate interactive simulations and exercises that allow new hires to apply the concepts they have learned in a practical setting.
In addition to these specific applications, AI can also be used to improve the overall quality of training manuals by:
- Identifying and correcting grammatical errors. AI can scan training manuals for typos, grammatical errors, and inconsistencies in style and formatting, ensuring that the materials are polished and professional.
- Ensuring that the text is clear, concise, and easy to understand. AI can analyze the complexity of the language and suggest simpler alternatives, making the text more accessible to a wider range of learners.
- Providing feedback on the effectiveness of the training materials. AI can track learner engagement and performance data to identify areas where the training materials may be lacking. This feedback can be used to improve the materials over time.
