Answering Technical Questions on Excel or PowerPoint

Working With Excel

Excel is an extremely powerful tool. There are tons of examples I could give on how to use Google Bard to assist in development of a spreadsheet, but for this example, I will be asking for help creating a pivot table.

Prompt:

Instruct on how to create a pivot table in Excel. There are 3 columns of data. The first column are dates. The second column contains quantities. The third column contains total amounts of cost. I would like to group data in a way that shows the total cost per month.

AI Response:

  1. Select the data: Highlight the three columns of data that you want to include in the pivot table.
  2. Insert a PivotTable: Click the Insert tab, and then click the PivotTable button.

  • New worksheet: This will create a new worksheet to hold the pivot table.
  • Existing worksheet: This will place the pivot table in the current worksheet.

  3. Format the pivot table: You can format the pivot table as desired by right-clicking any cell in the pivot table and selecting PivotTable Options.

Software Code Generation & Commenting

Using Google Bard or Chat-GPT as a code generator, a developer can simply provide a natural language description of the desired function, such as “Write a function that reverses the order of characters in a given string.” The AI tool will then generate the corresponding code, such as:

If you have large amounts of software code that need comments, I suggest only working with one function at a time. If you copy too much of your code into Google Bard, it may go beyond the context limit and return incomplete results.

Research And Analysis

Large language models (LLMs) have proven their ability to process and extract relevant information from a massive amount of data. Now, some of the most advanced AIs like Google Bard can access real-time information, just like a human would use a search engine. This real-time information access makes Google Bard and other AIs with similar capabilities the best tools for conducting research and analysis.

Google Bard is an expert language translator. Currently, Bard is available in over 40 different languages and can translate between them.

Scheduling and Organizing

As of September 19, 2023, Google Bard can now examine your Google Calendar and help you create a schedule or plan a vacation.

According to the Google Blog:

For example, if you’re planning a trip to the Grand Canyon (a project that takes up many tabs), you can now ask Bard to grab the dates that work for everyone from Gmail, look up real-time flight and hotel information, see Google Maps directions to the airport, and even watch YouTube videos of things to do there — all within one conversation.

Of course, for this to work well, you must have your Google Calendar up-to-date. Also consider that at the time this is being written, Bard CANNOT add events to your Google Calendar. Perhaps this will be a feature Google rolls out soon. It would be great if you could plan a trip with Google Bard, accept it, and then have Bard automatically block out your calendar!

Regardless, be sure to try this out the next time you are planning a trip!

Summarizing Text / Re-Writing

AI can rephrase sentences using different words and sentence structures while maintaining the original meaning. This helps in making the text more engaging and easier to read. This can be useful for many tasks such as reducing email size, converting draft texts into final revisions, or writing clear instructions for a user manual to name a few.
